Policies and Procedures

THE RENTAL SEASON: Summer Season is from June 3 to August 19, Mid-season is May 20 to June 3, and August 19 to September 3. The remainder of the year is off season.

THE RENTAL WEEK: The rental week is from Sunday to Sunday. Some properties permit partial week rentals in the off season, with a minimum of three nights required.

RESERVATIONS: After selecting a cottage from the brochure or Website, please call or E-mail our office to ascertain its; availability. To confirm a reservation, the rental agreement must be signed and returned to our office within 7 days of your call , and a 50% advance rent deposit must accompany the agreement. We do not accept charge cards, but will honor personal checks. Upon receipt of your request we will mail or E-mail you a confirmation.

DAMAGE AND CLEAN-UP GUARANTY: A damage and clean-up guaranty is required of all parties upon arrival. An imprint of a major credit card will be made upon check in. When the unit is inspected upon your departure, the credit card ticket will be destroyed. If there is damage or issues you will be notified by telephone of any cost incurred and any charges made to your credit card. In the event you don not have a credit card, a check is acceptable.

DEPARTURE CLEANING FEE: Professional departure cleaning is provided for all cottages. The cleaning fee is included in the rent. Departure cleaning does not include washing and putting away dishes, making beds, or removing trash from the cottage. If additional cleaning is necessary, guest agrees to reimburse agent for additional cleaning required. Guest also agrees to replace any of owner’s property lost or damaged during their stay, excluding normal wear and tear.

TAXES: All rentals are subject to a 6.75% NC TAX, and a 6% Topsail Beach Tax. The Topsail Beach Tax supports beach nourishment.

CHECK-IN: Check in time is 3:00 P.M. or later. If you arrive early, please do not go to the cottage. Each unit is inspected prior to occupancy. When you check into your cottage, let us know immediately if the unit is not clean or there are broken items. Please notify the office if you will be arriving after office hours.

The remainder of the rent and tax must be paid
by check, money order, or cash upon arrival.

Debit cards or other credit cards are not accepted

CHECK-OUT: Check-out time is 10:00 A.M. or before. Pleas leave the unit neat and undamaged. All dishes should be cleaned and put up, beds made, all trash removed from the house, and the garbage can rolled to the street. When you are ready to depart, drop the keys off at the office.

PARTIES: No house parties are permitted.

CANCELLATIONS: If you must cancel your reservation and the cottage is re-rented for the entire period your advance rent deposit will be refunded less a $50 per week service charge. If the cottage is not re-rented, your deposit will be forfeited.

EQUIPMENT FAILURE: We cannot guarantee air conditioners, televisions, or other appliances due to salty atmosphere. Every effort will be made to repair any breakdowns as soon as possible. There will be no refund in the even of a failure.

PETS: Some cottages do allow pets. There is a non-refundable pet fee. (See description). Most cottages do not permit pets. Pets on these properties are cause for evection, forfeiture of rent and damage guaranty. Service animals with proper documentation are permitted.

HURRICANE AND STORM POLICY: In the event of a mandatory evacuation we will refund for day or days the evacuation is in effect. There will be no refunds for voluntary evacuations.

WHAT TO BRING: Linens are not furnished. The following is a brief list of items you will need. Sheets and towels, paper products, beach items. Most cottages have grills. Grilling is prohibited on wooden decks and porches.

TENATIVE RESERVATIONS: Tentative reservations made 2017 must be received along with a reservation request and 50% advance rent by February 1, 2018 otherwise the home will be rented to others. Please call our office in January to let us know that you plan to confirm your tentative reservation.

OFFICE HOURS: Sunday 9 AM to 5 PM. Daily 9 AM to 4 PM except Wednesday when the office is closed.
Off Season: Sunday Hours 11 AM to 4 PM. Closed Sundays: November, December, January, and February.

NOTE: We do not rent to anyone under 25 years of age or to unrelated groups.
